We automate your processes, so you can focus on the work that actually creates value.
We connect your business systems into one intelligent network. Data flows automatically, processes run on their own, and your business can focus on what actually matters.
What would you do with the time you get back?
Sound familiar?
It used to sound like science fiction. By 2026 it's simply reality: using automation and various AI applications is no longer optional, it's essential. The competitive edge goes to whoever uses their resources most efficiently. Why waste valuable resources on repetitive manual work when a system can do the same job?
- Typing data into spreadsheets by hand
- Leads lost to slow replies
- Booking chaos, because nothing syncs
- Documentation nobody can follow
- Missed deadlines
- Quotes that take half a day to put together
- Chasing customer reviews one by one
- … and the list goes on.
That's a lot of wasted potential you could instead put toward real value creation and revenue growth, while systems do the work for you.
The key question is HOW? That's exactly where we can help your business.
"I run a company and want to streamline our processes."
Run a service business or a trading company with a small team? We'll show you how to accelerate your business.
"I run everything myself, and the admin work is piling up."
You do the professional work, you answer the messages, you send the invoices… Why do it all yourself when you can hand it off to a virtual assistant instead?
Three steps, no surprises
A long-term partnership built on trust.
Assessment
You know your business best. During a consultation, we go through together how your business runs, where you're losing time and/or money unnecessarily, and what your biggest pain points are. After our systems audit, you get a concrete list: which recurring processes are worth automating, in what order, where AI makes sense, and what return you can expect.
First project
We pick one well-scoped process and automate it, at a fixed price, on a fixed timeline. A fast, visible result, low risk, high return.
Expansion
If it works, and it will, we optimize your processes step by step, even the most complex ones, for as long as the return is clearly worth it. You set the pace.
Not sure how to start?
Tell us in a few sentences what your business does and what you'd like to change. We'll get in touch and put together an action plan for you. A free first consultation, no obligation.
Request a Consultation →Growth isn't slowed down by too little work. It's slowed down by endless admin work and missed opportunities.
In a small team or a smaller company, every extra order and every extra client also means extra admin work. Back-office processes are essential to how your business runs, but they don't have to be a burden. We take that weight off your shoulders so you can focus on what really matters, while keeping the systems you already use.
What you can expect
Not a replacement, a transformation
We know you're attached to the systems that already work, so we don't touch them. Our automations are built around them, connecting them together.
Auditable operation
Every automated step is traceable: who, what, when, how. That's not an extra, it's the baseline. Especially where money or sensitive data is involved.
We work at a fixed price
We don't bill by the day and drag projects out indefinitely. We talk it through, assess it, and deliver what we promised at a fixed price.
Every sector has its own pain points
Click through and see how we solve yours.
I run a service business
Booking, customer follow-up, quotes, communication, transparent and automated.
Solutions for services →I run a trading or distribution company
Supplier invoices, goods receiving, SKU matching, no manual re-typing, ready for approval.
Solutions for trading companies →Running a business in a different industry?
We also take on projects outside our two main sectors if the work fits our profile.
Tell us what you do and we'll let you know whether we can help.
Have a question?
That's exactly what the consultation is for. We'll review your processes and give you a concrete, prioritized list, where and how much time or money you could save with our solutions. Free of charge, no obligation.
Request a Consultation →More customers doesn't automatically mean more revenue. The difference is in how you operate.
Appointments, client coordination, quotes, invoicing, follow-up, the things that eat up your valuable time every day are also what's holding your growth back. We build an invisible layer between your existing systems that handles the manual rounds, so you can focus on your craft.
Nobody says these out loud. But they happen every day.
"Double booked again. Another awkward phone call."
Bookings come in by phone, Messenger, email, on paper. Someone forgets to write it down, someone reads the calendar wrong, and then you have to smooth things over with the client because the slot doesn't actually work. Every single time, it costs you trust.
"By the time I call back, they've gone to a competitor."
You can't pick up the phone or answer a quote request while you're working. By the time you get to it in the evening, the lead has already gone elsewhere. A warm lead cools off within hours, and that's how two-thirds of sales are lost.
"They came once. Then never again."
Winning a new customer costs several times more than bringing back an existing one. Yet there's no time to follow up, remind them of their next visit, or ask for a review. Your base is right there, you're just not using it.
"Half a day goes into quotes and invoicing."
Every quote is another Word document, every invoice is another manual entry. The end of the week often belongs to paperwork, not strategic decisions or rest. And as you grow, this slice of the pie only gets bigger.
If any of this sounds familiar, it's not your fault. A service business runs on 5-10 systems and channels, you simply can't keep them in sync by hand.
What we take off your shoulders
We're not handing you another piece of software. We build an invisible layer between your existing systems, calendar, booking page, invoicing, communication, that handles the manual rounds. Logged, and fully checkable.
Unified booking across every channel
Bookings from your website, Facebook, Google, all land in one calendar. Automatic confirmation, reminders, a cancellation link. Double booking becomes impossible.
Instant replies with an AI assistant
Leads don't go unanswered even while you're busy working. AI drafts replies to the most common questions, you just review and send. The warm lead doesn't cool off.
Automatic customer follow-up
Existing customers get periodic reminders, review requests, referral requests, personalized, based on their history with you. Repeat business goes up noticeably.
Quote templates, in minutes
A branded quote generated automatically from the client's needs, in one click. Not half an hour, two minutes, right there in the conversation.
Handing off invoicing and bookkeeping
Completed services generate an automatic invoice, which goes straight to your accountant. You just review, manual entry disappears.
One admin dashboard, if you want it
Bookings, revenue, customer satisfaction, no-show rate, all in one place. No need to check five different screens to see how your business is doing.
We've already done it
Full back-office automation for a private after-school daycare
We built a custom website with the following functions integrated:
- Smart contact form → customer data channeled into a CRM, notification on new sign-ups, confirmation, prep for the phone consultation
- After the consultation, an automatic invite into the internal booking system
- A payment solution integrated into the booking system that automatically sends the invoice to the client, our customer, and their accountant
- A customer-satisfaction survey sequence, with Google review prompts
- Daily reports and a single dashboard (CRM, invoices, deadlines, online calendar, daily client list, occupancy, unanswered messages)
- An automated newsletter about daycare news and the schedule
- Automatic upload of accountant-ready documentation to the cloud
- An AI chatbot embedded in the website that answers prospective clients' questions from the internal knowledge base
Our client came to us wanting to open a private after-school daycare. She loves working with kids, much less so the technical back-office work a business needs to run. She asked us to manage that for her.
An automated business: our client only has to focus on her actual service, the rest is handled by our systems. Automated onboarding, waitlist notifications on cancellation, no more empty slots. Daily reports tell her exactly who is coming the next day and how many, and she only needs to sync with her accountant once a year, at tax time.
Building Tisztaklíma9ker's digital customer-acquisition and booking system
To bring a local service brand to market, we built the following systems:
- A conversion-optimized website with transparent pricing, trust elements, SEO landing pages and bilingual content
- A proprietary, website-integrated online booking system with automatic confirmation, reminders and cancellation handling
- A service-area-filtered booking flow: postcode validation so bookings only come in from covered zones
- An AI chatbot embedded in the website that answers questions about pricing, service area and the booking process, then steers the visitor toward booking
- An automatic invoice-prep workflow: completed jobs flow into invoicing through a review step, removing manual data copying and speeding up admin
- A consent-based tracking setup on the landing page and in the booking flow, connecting GA4, Meta Pixel and Google Ads events
- Admin notifications for new, cancelled and modified bookings, plus back-office integrations that simplify day-to-day operations
Our client wanted to launch a brand-new local service business without booking, customer communication and admin being run on phone-call improvisation. We had to build a system that builds trust, captures leads and keeps operations under control, all at once.
A turnkey digital customer-acquisition and operations engine: visitors see the offer right away, can ask questions, and can book online, while the system only accepts requests from covered postcodes. Behind the scenes, a closed loop runs from booking through to invoice prep, so fewer leads get lost and there's less manual coordination and invoice data entry, leaving our client free to focus on fieldwork, not back-office chaos.
Let's work out how much time you'd get back.
In a short conversation, we'll review your processes and tell you what can be automated, and roughly how many manual hours it frees up per month.
Request a Consultation →Your goods aren't slowed down by loading. They're slowed down by every line item being typed into the system by hand.
A supplier invoice arrives by email, someone opens it, reads it, then types each line item into a spreadsheet and into the ERP system. It's a little different for every supplier: different SKUs, different exchange rates, different rules. We automate this loop while keeping the ERP system you already use.
Every incoming shipment runs the same manual loop
"We enter every invoice line item by hand."
Open the PDF, read the line items, type them into the spreadsheet, then type them again into the ERP system. That's a quarter of an hour per invoice, sometimes more, and every typed line is a chance for a mistake. The bigger your volume, the more workdays this eats up.
"Every supplier does it differently."
One supplier puts an SKU on the invoice, another only a description. Some list the discount on a separate line, others fold shipping into the price. Foreign-currency invoices need an exchange rate calculated too. Right now, only one or two colleagues know this by heart, and when they're on vacation, goods receiving grinds to a halt.
"The supplier's SKU isn't our SKU."
The same product runs under one code at the supplier, another name in the warehouse, and yet another in your own records. Matching them up runs on memory, and once it slips, inventory data stays wrong for months.
"Where's that invoice, and what happened to it?"
The original PDF sits in one folder, the receiving entry in a spreadsheet, the purchase order in the ERP system. If a question comes up about a line item, you have to dig through three places before you find out what happened to it.
There's nothing wrong with your team. The supplier-invoice journey today runs on manual copying, and that's exactly the kind of work a system does faster and more accurately.
What we take off your team's shoulders
Your ERP and inventory system stays the same, whatever's been running keeps running. We automate what happens around it: from the invoice arriving to the line items being ready for approval.
Invoice recognition and data extraction
The system downloads and reads each incoming invoice: supplier, invoice number, dates, currency, exchange rate, line items. Nobody has to open or type it in.
Supplier-by-supplier rules
What colleagues currently know by heart gets turned into a rule: which supplier's SKU comes from where, how to handle the discount and the shipping line, whether the tax treatment is domestic or intra-EU. A new supplier just means adding one new rule.
Automatic SKU matching
The system translates the supplier's SKU into your own using a matching table. If it can't match something unambiguously, it doesn't guess, it asks for human input.
Receiving and purchase-order prep
Line items go into the records, and the system prepares a draft purchase order or goods-receiving entry in your ERP system. Your colleague just has to review and approve it.
Foreign-currency invoices and exchange rates
Euro invoices convert automatically: at the central bank's midpoint rate, or at the supplier's stated rate if the invoice specifies one. No separate spreadsheet needed.
Status tracking and archiving
Every invoice shows exactly where it stands: received, recorded, awaiting approval, or closed. The original PDF and the finished document land in an organized folder, searchable at any time.
Here's what a finished back-office automation looks like
EMPACK is a trading company too: foreign and domestic suppliers, foreign-currency invoices, its own SKU system. This exact process is running in their business today.
EMPACK invoice-processing and internal back-office process automation
For a high-admin-load financial back-office process, we built the following operational chain:
- Automatic collection and pre-filtering of incoming supplier invoices, so the team doesn't work across multiple inboxes and folders
- AI-assisted data extraction and structured data-sheet prep, ready for human review
- Automatic creation of an internal purchase-order draft from the relevant invoice data, with no manual re-typing
- Organized document storage and status tracking, so every line item stays searchable and auditable
- Supplier-specific rules, exchange rates, discounts, SKUs and matching exceptions handled at the process level
- Status tracking, error alerts and retry logic, so the process isn't just faster but more reliable too
At our client, supplier-invoice processing ran across several separate systems with a lot of manual copying. Invoices arrived by email, the data had to be transferred into separate spreadsheets and internal back-office tools, and the documents then had to be saved and later retrieved. This was slow, repetitive, and hard to scale.
It wasn't the people who disappeared from the process, it was the repetitive manual work. What used to be 13-18 minutes of manual processing per invoice shrank to a 2-4 minute review-and-approve step, freeing up dozens of work-hours per month at moderate volume. Fewer typos, better traceability, more stable internal operations.
How many hours does invoice entry cost you right now?
In an assessment, we'll walk through the journey of your supplier invoices and tell you which step is worth automating, while keeping the ERP system you already use.
Request an Assessment →Focus on your craft. Not on the admin work.
You do the professional work, you answer the messages, you send the invoices, you post the content, you deal with your accountant. We're not handing you another app, we connect your calendar, your messages, your invoicing and your payment tools, then automate the back-office processes around them. We build a self-running machine and take the weight off your shoulders.
Sound familiar?
At the end of the day you're sitting there exhausted, phone in hand:
"By the time I write back, they've booked elsewhere."
You can't answer right away while you're working. By the time you get back to a booking request in the evening, the prospect has already moved on. Every exchange takes several back-and-forth messages that interrupt your actual work.
"They didn't show up again. Didn't even say anything."
An empty slot is a direct loss of revenue, there's no assistant to instantly fill the gap. Without reminders, without an automated booking system, the no-show comes straight out of your pocket.
"They messaged on Instagram, changed it on Messenger, texted the address."
The client writes across four channels, and you're keeping track of where things stand in your head. One forgotten reply, one wrong time slot, one missed prep step, and there's trouble.
"I can't see my own processes clearly."
Your invoicing tool doesn't know if the client paid. Your calendar doesn't know if there was a no-show. You don't know who hasn't replied, who last visited six months ago, who you should be re-engaging. The data is everywhere, just never in one place. You're not using the potential that's sitting right there.
The problem isn't that you work too little. It's that you're the professional, the receptionist, the bookkeeping assistant and the marketer all at once, instead of outsourcing the back-office work to your systems.
Not another app. Integration.
You already use your calendar, your booking page, your invoicing tool, your payment solutions and your communication channels. We don't replace them, we connect them, configure them and tailor them to you, so they work together to serve you.
Booking, payment, invoicing, one chain
An online booking automatically triggers the confirmation, the reminder, and, where needed, the deposit or payment request. The invoice is generated on its own and lands with your accountant.
Your business's "operating system"
Calendar, booking page, Billingo or Számlázz.hu, payment link, messages, all in sync. An admin dashboard, if you want one, with everything in one place instead of five different screens.
Repeat customers, automatically
Most service providers don't have a lead-generation problem, they have an inconsistent follow-up problem. Automatic rebooking reminders, review requests, referral requests.
A safe AI admin assistant
Not an "AI hairdresser" or "AI coach." A virtual assistant that prepares things for you: drafts replies, summarizes history, suggests post ideas. The final decision always stays with you.

We create value, we don't just sell technology
Plenty of automation "experts" sell technology. We create value for your business by implementing solutions that actually work. We spent ten years in enterprise environments coordinating complex systems and delivering projects on deadline, doing it again in one sector after another. Now we bring that same mindset, experience and discipline to smaller companies, where a well-built automation isn't a luxury: it's several extra hours a day, or capacity you can put toward growing your business.
Process, not technology
We don't start with "which tool should you buy." We start with "where can we make the highest-impact change." The technology comes after that, and stays in the background.
Small team, direct contact
You won't be talking to an account manager. You'll be talking to the person actually building your system.
Transparency, documentation
Everything we build is documented and belongs to you. We don't lock you into our own system, if you ever want to move on, you can.
The steps of a project
A methodical, low-risk approach that starts with understanding your business.
Discovery and diagnosis
- We learn how your business actually runs: goals, constraints, data flows, intervention points.
- We map your tools and where your data lives: CRMs, communication channels, spreadsheets, internal tools.
- We review your processes to find the real bottlenecks and decide what's worth automating, and what isn't.
Design, build and validate
- We prioritize the highest-impact opportunities and decide where AI helps, and where it doesn't.
- We design and build custom workflows, testing different approaches on real data.
- We run evaluations in a test environment, but on real data, before going live.
Go-live and optimization
- We go live with safety guardrails in place.
- We monitor performance, collect feedback, and fix any issues quickly.
- We continuously refine the prompts, the logic and the models, so the system evolves along with you.

- Sending passwords and API keys over a secure channel (a password manager, encrypted email) and rotating them once the project is closed.
- Handling the related administrative steps in its own systems (CRM, invoicing, webshop, etc.), its own access management, GDPR compliance.
8. Intellectual Property
The completed configurations, integrations, documentation and custom code become the Client's property once full payment has been settled. Third-party tools used for the work (n8n, Make, Zapier, the OpenAI API, etc.) are used under the Client's own name and subscription. The Service Provider reserves the right to apply the general methodology used in the solution to other projects, excluding client-specific data and content.
9. Limitation of Liability
The Service Provider is liable in accordance with the general rules of civil law. Except in cases of intentional damage or damage to life, physical integrity or health, liability is limited to the amount of service fees paid by the Client over the preceding 12 months. The Service Provider is not liable for consequential damages arising from a third-party service outage (e.g. an external API), a change in legislation, or faulty data supplied by the Client.
10. Withdrawal and Termination
The Client may withdraw without justification before the project begins; verified costs incurred up to that point must be reimbursed. An ongoing operation contract can be terminated in writing, with 30 days' notice.
Where the Client qualifies as a consumer, the 14-day right of withdrawal under Government Decree 45/2014 (II. 26.) applies, unless performance begins, with the Client's express prior consent, before the 14-day period has elapsed.
11. Confidentiality
The parties mutually undertake to keep confidential any information that comes to their knowledge in the course of performing the contract. This confidentiality obligation continues for a further 5 years after the contract ends.
12. Data Processing
The processing of personal data is governed by the Privacy Policy.
13. Dispute Resolution
The parties will primarily seek to resolve disputes amicably through negotiation. Failing agreement, the court with jurisdiction over the Service Provider's registered seat will hear the matter. A Client who qualifies as a consumer may turn to the Budapest Conciliation Board: 1016 Budapest, Krisztina krt. 99. I. em. 111, Hungary · postal address: 1253 Budapest, Pf. 10, Hungary · email: bekelteto.testulet@bkik.hu · phone: +36 (1) 488-2131.
14. Force Majeure
Neither party is liable for failing to perform its contractual obligations where that failure results from force majeure (natural disaster, war, epidemic, government action, critical-infrastructure outage). The affected party must notify the other without delay.
15. Amendments to These Terms
The Service Provider is entitled to unilaterally amend these Terms. We publish any amendment on the website at least 15 days before it takes effect, and for ongoing services, we also notify affected Clients by email.
These Terms were originally written in Hungarian; in the event of any dispute, the Hungarian-language version prevails. Matters not covered here are governed by the provisions of the Hungarian Civil Code.
